Privacy Policy

This Privacy Policy explains how ZYDEN handles your personal data when you visit this website or get in touch with us. We keep it plain, and we keep it honest. ZYDEN runs a deliberately light website: no analytics, no advertising, no tracking cookies. The main time we hold any personal data about you is when you choose to send it to us, by booking a discovery call or writing to us.

1. Who is responsible for your data

ZYDEN is a trade name of Eloy Broens Consultancy, a business registered with the Netherlands Chamber of Commerce (Kamer van Koophandel). For the purposes of the EU General Data Protection Regulation (GDPR), Eloy Broens Consultancy is the data controller for the personal data described here.

Our registered business details, including our address, are on public record in the KvK register under the number above. For anything to do with your privacy, email is the fastest way to reach us.

2. What this policy covers

This policy covers people who visit this website and people who contact ZYDEN about our services. ZYDEN provides business services to companies and their owners. The website is not directed at children, and we do not knowingly collect data about anyone under 16.

3. What personal data we collect

Data you give us

When you fill in the discovery-call form, or otherwise write to us, we receive what you choose to send. On the form that means:

  • Your first and last name.
  • Your email address.
  • Optionally, your phone number, your website, how you heard about us, and anything you type into the message field.
  • A record that you ticked the consent box, so we can show you agreed to us replying.

Data collected automatically

Like any website, this site is delivered to you by a hosting provider. To send you the pages and to keep the service secure, that provider processes standard technical data such as your IP address, your browser and device type, and the date and time of your visit, in server logs. We do not use this data to identify you or to build a profile of you, and we do not combine it with the details you send us.

What we do not do

  • We do not run Google Analytics or any other analytics tool.
  • We do not use advertising, retargeting, or social media tracking pixels.
  • We host our own fonts, so loading a page does not send your data to a third-party font service.
  • We do not buy, sell, rent, or enrich data about you from other sources.

4. Why we use your data, and our legal basis

Under the GDPR we may only use your personal data where we have a lawful basis. Here is each purpose and the basis we rely on:

  • To reply to you and arrange or hold a discovery call. Legal basis: taking steps at your request before entering into a contract (Article 6(1)(b)), and your consent given through the form's consent box (Article 6(1)(a)).
  • To stay in contact about your enquiry and follow up. Legal basis: our legitimate interest in responding to people who reach out to us (Article 6(1)(f)).
  • To keep the website and our inbox secure and free of spam. Legal basis: our legitimate interest in protecting the service (Article 6(1)(f)). The form uses a hidden anti-spam field rather than any tracking.
  • To meet our legal and tax obligations if you become a client. Legal basis: compliance with a legal obligation (Article 6(1)(c)).

Where we rely on your consent, you can withdraw it at any time. Withdrawing it does not affect anything we did with your data before you withdrew it.

5. Who we share it with

We do not sell your data, and we do not share it so that others can market to you. We do use a small number of trusted service providers who process data on our behalf, under contract and only on our instructions:

  • Web3Forms delivers your form submission to our inbox. Your form details pass through their service on the way to us.
  • Our website hosting and content-delivery provider serves the site to your browser and keeps the technical logs described above.
  • Our email provider stores and delivers the messages we exchange with you.

We may also disclose data where the law requires it, for example to a regulator or in response to a valid legal request. A current list of the specific providers we use is available on request by emailing info@zyden.ai.

6. Transfers outside the EEA

Some of the providers above are based outside the European Economic Area, including in the United States, so your data may be processed there. Where that happens, we rely on appropriate safeguards recognised under the GDPR, such as the EU-US Data Privacy Framework and the European Commission's Standard Contractual Clauses, so that your data stays protected to an equivalent standard.

7. How long we keep it

  • Enquiries that do not lead to working together: we keep your message and contact details while we are in contact, and then for up to 12 months, in case you come back to us. After that we delete them.
  • Records relating to clients: where you become a client, we keep the records we are legally required to keep. Under Dutch tax law that is up to 7 years for our business administration.
  • Technical server logs: kept only for the short period our hosting provider retains them for security and troubleshooting.

8. Your rights

Under the GDPR you have the right to:

  • Ask what personal data we hold about you, and get a copy of it (access).
  • Have inaccurate data corrected (rectification).
  • Ask us to delete your data (erasure).
  • Ask us to restrict how we use your data (restriction).
  • Receive the data you gave us in a portable format (portability).
  • Object to us using your data where we rely on legitimate interest (objection).
  • Withdraw any consent you gave, at any time.

To use any of these rights, email us at info@zyden.ai. We will respond within the time the GDPR allows, normally one month. There is no charge for a reasonable request. If you are not happy with how we have handled your data, you have the right to lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens. We would appreciate the chance to sort it out with you first.

9. Cookies and similar technologies

This website does not set tracking, analytics, or advertising cookies. It uses only what is strictly necessary to load and display the pages you ask for. Because there are no non-essential cookies, there is no cookie banner to click through. If we ever add something that needs your consent, we will update this policy and ask you first.

10. How we protect your data

We use reasonable technical and organisational measures to keep your data safe. The site is served over an encrypted HTTPS connection, and access to the messages you send us is limited to what is needed to reply to you. No method of transmission or storage is ever completely secure, but we take protecting your data seriously.

11. Changes to this policy

We may update this Privacy Policy from time to time, for example if our services or our providers change. When we do, we will revise the "Last updated" date shown at the top of this page. If a change is significant, we will make that clear.
